5 Tips to Integrating New Accounting Solutions with Your Existing System

Integrating New Accounting Solutions with Your Existing System

Integrating a new accounting solution with a pre-existing system can seem pretty daunting at first. This is normal for both businesses and individuals that need to handle a lot of financial data. However, with a little guidance and practice, the integration process can go smoothly. Listed below are a few recommended tips to make sure that your integration of new accounting solutions goes smoothly.

Review Available Solutions

If you haven’t selected a new accounting solution yet, we recommend that you take your time with the decision. Once you’ve selected an accounting solution and committed to it, it may be more difficult to transition to another one if it’s already integrated into your business. Take the time to read reviews and talk to people who have the same or similar systems incorporated into their existing businesses.

Make Sure It Is Compatible with Other Software or Hardware

Not all solutions will work seamlessly or perfectly with your current hardware or software. Make sure that your newly selected accounting solution is actually compatible with the other equipment and technology in your business. You don’t want to end up purchasing software or a license that isn’t even usable in your company!

Setup Users with Passwords

If your business has a team that handles the accounting and your new solution will be accessed by multiple people, it’s recommended to set up individual accounts for each person with their own unique passwords. If your accounting solution has the ability to log actions, you’ll be able to identify when and who may be making the specific entries and/or errors in your bookkeeping and other financial activities.

Learn More about the New System to Increase Efficiency

Either before the system is installed or during its installation, spend some time learning the ins-and-outs of the new accounting program. You’ll be far more prepared to understand the various tools, menus, options, and daily actions that will be necessary to run the solution efficiently and effectively. The more you know about the system, the less time you’ll spend flipping through manuals during your work day when time is incredibly valuable.

Start with a Trial Run

Before you unleash your new accounting solution to the rest of your business, we recommend doing a small trial run. This will help you and your company get a feel for how the new system operates in conjunction with other business operations. By doing a trial run with the new system, you’ll also be able to identify a few of the problem areas that arise and can figure out how to get through or fix them before the real, important data flows through the system.
